1. Who we are
This website, elitevahub.net, is operated by Kelvin Naftal Kisinga, trading as Elite VA Hub / KK Executive Support, Dar es Salaam, Tanzania ("Elite VA Hub", "we", "us"). We provide remote executive-assistant and AI-automation services. 2. What we collect and why
When you book a call (Calendly): your name, email address, time zone, the time you choose and anything you write in the booking notes. We use this to hold the call, send confirmations and reminders, and follow up about your enquiry.
When you complete our onboarding form (Google Forms): the details you enter, such as your name, email, phone/WhatsApp number, company and the support you need. We use this to understand your needs, prepare a proposal and, if you become a client, set up your service.
When you email or message us: your contact details and the content of your message, to reply and keep a record of our conversation.
When you browse the site (Google Analytics 4): information about your device and visit, such as pages viewed, approximate location (country/city), browser, referring site and time on page, collected through cookies. We use this in aggregate to understand how the site is used and improve it. We also use Google Search Console, which reports how the site appears in Google search; it does not identify individual visitors to us.
We do not sell your personal data, and we do not use advertising or remarketing trackers (such as Meta or LinkedIn pixels) on this site.
3. Our legal basis (for visitors in the EU/UK)
We process your data to take steps you ask for before entering a contract (booking a call, completing the form) and to perform our contract with clients; for our legitimate interest in running and improving our business and replying to enquiries; and, for analytics cookies, on the basis of your consent where the law requires it.
4. Who we share data with
We use trusted service providers to run the site and our business: Netlify (website hosting), Google (Analytics, Search Console, Forms, Workspace email and storage), Calendly (scheduling), workflow and communication tools such as Zapier, Make, Zoom and WhatsApp, and AI tools such as Claude (Anthropic) and ChatGPT (OpenAI), which help us draft, summarise and organise work. They process data for us under their own terms and security. Clients can opt out of AI tools by telling us in writing (email is enough); see our Terms of Service. We may also disclose data where the law requires it.
5. International transfers
We are based in Tanzania and our providers may store data in other countries, including the United States and the EU. Where the law requires it, we rely on the safeguards those providers offer (such as Standard Contractual Clauses) and on the conditions for transfers under the Tanzania Personal Data Protection Act, 2022.
6. How long we keep data
Enquiries and booking details from people who do not become clients: 24 months from our last contact. Client records: for the length of the engagement and for 6 years after it ends, to meet Tanzanian tax record-keeping rules and the legal limitation period for contract claims (longer only if a tax audit, dispute or appeal is still open, until it is resolved). Analytics data: 14 months (our Google Analytics retention setting).
7. Your rights
Depending on where you live, you may have the right to access the personal data we hold about you, correct it, ask us to delete it, object to or restrict how we use it, withdraw consent at any time, and receive a copy of your data. To use these rights, email kenaki323@gmail.com. We will respond within 30 days.
If you are in Tanzania, you may complain to the Personal Data Protection Commission (PDPC). If you are in the EU or UK, you may complain to your local data-protection authority. We would appreciate the chance to resolve your concern first.
8. Cookies
Google Analytics uses cookies to count visits and understand site use. You can block or delete cookies in your browser settings, or use Google's opt-out browser add-on. When you first visit, a cookie banner lets you accept or reject analytics cookies. If you are in the EU/EEA, UK or Switzerland, analytics cookies stay off unless you click Accept. To change your choice, clear this site's data (cookies and site storage) in your browser and the banner will appear again. The embedded Calendly booking widget may set its own cookies; see Calendly's privacy notice.
9. Security
We protect data with access controls, two-factor authentication on our accounts and by limiting access to what each task needs. No online system is completely secure, but we work to protect your information and will notify you and the authorities where the law requires if a breach affects you.
10. Children
Our services are for businesses and professionals. The site is not intended for children, and we do not knowingly collect their data.
11. Changes
We may update this policy. The "Last updated" date shows the latest version.
